SMSF record keeping
Keep a fund record that remains usable—not a pile reconstructed at audit time.
SMSF trustees are responsible for maintaining proper and accurate tax and super records. The retention period is generally five or ten years depending on the record, but keeping the file is only part of the job: it also needs to remain accessible, explainable and connected to the fund position it supports.

Generally retain for at least five years
Financial, reporting and transaction records
- Accounting records that explain the fund's transactions and financial position
- Annual operating statements and statements of financial position
- SMSF annual returns and transfer balance account reports lodged
- Other statements or reports required for members, regulators or other funds
Generally retain for at least ten years
Trustee, governance and decision records
- Minutes of trustee meetings and records of trustee decisions
- Documents recording changes of trustees or corporate-trustee directors
- Trustee declarations and members' written consent to appointment
- Reports provided to members and specified management records
- Documented storage decisions for collectables and personal-use assets
A usable system
Retention is the minimum. Continuity is the operating goal.
Exact retention requirements depend on the record and the fund's circumstances. The practical system should make the evidence easier to maintain, verify and hand over throughout the fund's life.

Keep the reason with the record
A document is more useful when it remains connected to the transaction, asset, obligation or trustee decision it supports.

Organise through the year
Statements, decisions and evidence are easier to verify when they are captured as the fund operates rather than reconstructed at year end.

Preserve an accessible history
The fund record should remain understandable if a trustee, accountant, auditor or other authorised professional changes.

Separate preparation from conclusions
Software can organise and prepare records. Trustees decide, and appointed professionals remain responsible for their advice, opinions, audit work and lodgments.
